Set Up Extension Voicemail and Greetings

Provides steps to set up and manage voicemail settings and greetings for an Extension: Turn voicemail on or off, record greetings, and set other options such as PIN. You can also send an audio file of your voicemail messages to email. 

  • Super Users and Administrators can enable and set options for all user extensions on their account in the Admin Portal.
  • All User Types can enable and set options for their own extension only in the Desktop App.

All new users assigned to an extension receive a Welcome email that provides them with their User Name, link to set password/security question, and notice that they must set their Voicemail PIN.


Enable Voicemail and Apply Options
Super User / Administrators

Apply settings for your users. A user must be assigned to an extension (see Manage Your Users) before you set their voicemail options.

To apply behavior for your own voicemail, use the Desktop App.

  1. Sign in to the Admin Portal.
  2. Click Phone System, then click Extensions.
  3. Hover over the extension you want to manage, then click the Pencil icon.  
  4. Click Voicemail to manage options.
  5. Apply options for your users, then click Save.

    Options are divided into five categories: Voicemail Enabled / Disabled, Voicemail PIN, Send Voicemail to Email, Voicemail Greetings, and Exit Voicemail Options.
     
    Voicemail Enabled / Disabled
    Toggle Voicemail on or off.
     
    To Enable
    1. Toggle to turn on.
    2. Set number of rings before call goes to voicemail.
    To Disable
    1. Toggle to turn off.
    2. Set number of rings before call disconnects.
    Voicemail PIN
    Set, update, or reset a forgotten PIN by emailimmediately, or by bulk for multiple users.  
     
    Change Voicemail PINSet by email and is the recommended option to update for your users. 
     
    1. Click Change Voicemail PIN.
    2. Confirm user, then click Send Email.

      If user has existing PIN, it remains in effect until reset with link.
    • User receives a link to change by email.
    • Link is one-time use and expires in 7 days.
    Set new PIN nowSets immediately and for use if you have a secure method to share PIN with your user.
     
    1. Click Down Arrow next to Change Voicemail PIN.
    2. Select Set new PIN now.
    3. Enter PIN, then re-enter to confirm.
    Apply Bulk Edit
    1. Click Bulk Edit (top right)
    2. Select all or specific users to update.
    3. Click Change Voicemail icon (next to Cancel in banner). 
    4. Click Send Email(s).

      If users have an existing PIN, it remains in effect until reset with link.
    • Users receive a link to change by email.
    • Link is one-time use and expires in 7 days.
    Send Voicemail to Email
    Send an audio file (.mp3) of voicemail message to up to ten email addresses.
     
    1. Mark option to Send Voicemail to Email.
    2. Enter up to ten email addresses separated by commas.
    3. Mark option to Delete Voicemail After Sending Email, if desired behavior.

      This removes the message from the voicemail box, not email. 
    Voicemail Greetings
    Direct how callers are prompted to leave a message. Set the automated prompt or record/upload a custom greeting. A custom greeting can be used with or without the automated prompt.

    NOTE: If no greetings are set, and the automated prompt is not enabled, a brief pre-recorded message plays regardless.

    Use the instructions below to Play, Record, Upload, Download or Replace a greeting.
     
    1. Mark Add an automated Voicemail prompt that plays to play a pre-recorded greeting with or without your custom greeting.

      Whether automated prompt is on or off, behavior differs if used with a custom greeting or not.
       
      If Custom Greeting Used
      Automated Prompt On?Then...
      YesPlays <Custom Greeting>, then plays the automated prompt: The person you are trying to reach is unavailable. Leave your message at the tone. Press Pound when finished.
      NoPlays the <Custom Greeting> only.
      If No Custom Greeting Used
      Automated Prompt On?Then...
      YesPlays an automated prompt only: The person you are trying to reach is unavailable. Leave your message at the tone. Press Pound when finished.
      NoPlays an automated prompt only: Leave your message at the tone. Press Pound when finished.
    2. Choose greeting(s) to use, then follow instructions to Record and Upload Greetings.

       
      Out of OfficeNotify callers of absence for a duration, whether a holiday, vacation, or even lunch hours. 

      Overrides Unavailable and Busy greetings.
      UnavailableIndicates person is occupied.
      BusyNotify callers of an active call.
      Name AnnouncementRecord or upload name for use with Dial by Name for the Virtual Receptionist (Main Number).

      NOTE: The Virtual Receptionist option to Allow the caller to dial an extension directly by entering the extension number at any time must be enabled.
    Exiting Voicemail Options
    Enables caller to press 4 to exit from voicemail greeting and connect to a specified extension or outside phone number. 

    If this option is used, inform callers in custom greeting.
     
    1. Mark Select an Extension.
    2. Choose an extension or add an outside phone number:
       
      If Extension:Click Select menu, then choose an available extension.
      If Phone Number:
      1. Click Add Phone Number.
      2. Update fields in dialog, then click Add Number.
All User Types (Your Personal Settings)

Use the following steps to apply options for your own extension.

  1. Sign in to your Desktop App.
  2. Click your Avatar/Initials (top left), then select Settings.
  3. Click Voicemail (under Settings) to manage options.
  4. Apply options, then click Save.
     
    Enable / Disable VoicemailToggle to turn on or off. 
    Send Voicemail to Email 
    1. Mark option to Send Voicemail to Email.
    2. Enter email address. 
    3. Mark Delete After after Send to Voicemail, if desired.

      This removes the message from your voicemail box, not your email. 
    Delete After Send to Email
    Play Automated PromptMark Add an automated Voicemail prompt that plays to use a pre-recorded greeting with or without your custom greeting.

    If this option is not turned on and a custom greeting is not set, a default message plays regardless.
    Change Voicemail PIN
    1. Click Change Voicemail PIN
    2. Enter PIN, then confirm. 
    Greetings
    NameRecord or upload your name for use with Dial by Name for the Virtual Receptionist. 
    BusyNotify callers that you are on an active call.
    UnavailableNotify callers that you are occupied.
    Out of OfficeNotify callers that you are away, whether for a holiday, vacation, or even lunch. 

    Overrides your greetings for Unavailable and Busy.
    Exit VoicemailEnables caller to press 4 to exit from voicemail greeting and connect to a specified phone number. 

    If you use this option, inform callers of this option in your custom greeting.
     
    1. Mark Select a Number.
    2. Click menu to enter or select the phone number/extension to use. 
       
      AddSpecify by type, enter phone number, then click Add.
       Select
      1. Scroll to Your Numbers.
      2. Choose number, where Search is available. 
Set, Change, or Reset Voicemail PIN

Describes how to set, change, or reset the PIN for your users or for any user to do their own. 

Super User / Administrator 

Set, update, or reset a forgotten PIN by emailimmediately, or by bulk for multiple users.

  1. Sign in to the Admin Portal.
  2. Click Phone System, then click Extensions.
  3. Hover over the extension you want to manage, then click the Pencil icon.  
  4. Click Voicemail, then scroll to Voicemail PIN.
  5. Choose method to use.
     
    Change Voicemail PINOption is used to set by email, which is strongly recommended.
     
    1. Click Change Voicemail PIN.
    2. Confirm specified user, then click Send Email.

      If user has an existing PIN, it remains in effect until reset with link.
    3. Click Save.
    • User receives a link to change by email.
    • Link is one-time use and expires in 7 days.
    Set new PIN nowOption applies an immediate PIN change. If used, use secure method to share. 
     
    1. Click Down Arrow next to Change Voicemail PIN.
    2. Select Set new PIN now.
    3. Enter PIN, then re-enter to confirm.
    4. Click Save
    Apply Bulk ChangeOption is used to set, update, or reset PIN by email for multiple users at once. 
     
    1. Click Bulk Edit (top right)
    2. Select all or specific users to update.
    3. Click Change Voicemail icon (next to Cancel in banner). 
    4. Click Send Email(s).

      If users have an existing PIN, it remains in effect until reset with link.
    • Users receive a link to change by email.
    • Link is one-time use and expires in 7 days.
All User Types (Your Personal PIN)
  1. Sign in to your Desktop App.
  2. Click your Avatar/Initials (top left), then select Settings.
  3. Click Voicemail (under Settings).
  4. Click Change Voicemail PIN, enter PIN, then confirm. 
  5. Click Save.
Check Voicemail Messages

A message cannot exceed six minutes, each undeleted message is stored for 90 days, and a maximum of 5000 messages is allowed per extension.

If you enter your PIN incorrectly 6 times, your access is disabled for 30 minutes.

  • Wait minutes, then enter the correct PIN
  • Reset PIN or contact your Administrator to do so on your behalf.

From Vonage Phone
  1. Press the voicemail key on your phone or dial *99 or *100.
  2. Enter your Voicemail PIN, then follow instructions. 
From Non-Vonage Phone
Call Forward Options On?
(Forward Number, Follow Me, Simultaneous Ring)

No
  1. Call your Vonage phone number, then press Star (*) at start of greeting.

    NOTE: While you can dial any phone number on the account, it is not recommended as the party might answer. 
  2. Dial your extension number, enter PIN, and follow instructions. 
Yes
  1. Call Virtual Receptionist / Main Company phone, then dial *101 at start of greeting.

    NOTE: To use, the Virtual Receptionist option to Allow the caller to dial an extension directly by entering the extension number at any time must be enabled.
  2. Dial your extension number, then enter PIN as prompted. 
From Desktop App
  1. Sign in to your Desktop App.
  2. Click Voicemail.
  3. Click a voicemail for options to Play or Download.
From Mobile App
  1. Sign in to Vonage Mobile App.
  2. Tap the Voicemail icon.
  3. Tap a message to Play.
Delete Voicemail Messages

All undeleted voicemail messages are retained for 90 days from the date the message was recorded. Following the 90 days, the voicemail messages are automatically purged.

From Vonage Phone
  1. Press the voicemail key on your phone or dial *99 or *100.
  2. Enter your Voicemail PIN.
  3. Follow instructions to delete messages. See Navigate Phone Keypad Options
From Non-Vonage Phone
Call Forward Options On?

  1. Sign in to your Desktop App.
  2. Click Voicemails.
  3. Hover over a message and click the Trash icon.
From Mobile App
  1. Sign in to your Vonage Business Communications Mobile App.
  2. Tap the Voicemail icon.
  3. Swipe the message and click on the Trash icon.
