Vonage for Microsoft Teams

Vonage for Microsoft Teams, powered by Call2Teams™ is a product of Qunifi. It is a softphone application that integrates with the Vonage phone system. 

Order Services

Review requirements to set up Microsoft Teams before you purchase services/licenses for your users. Once services are purchased and activated by Vonage, your Account Owner (Call2Teams Admin) is also created. This person is responsible for completing the setup of your services for licensed users. 

Requirements
  • Admin access to your Vonage account to manage SIP devices/settings.
  • Account Owner (Call2Teams Admin) to configure your PBX/Domain. This user also requires global admin credentials for Microsoft Office 365. 
  • One or two spare licenses to sync the Domain automatically. If you do not have a spare, you will be prompted to complete the Domain setup manually.
  • All users are required to have a Microsoft Phone System license add-on enabled or an E5 license.

Apply Services

Once your service is activated by Vonage, set up your Microsoft Teams environment for your licensed users. You can also add additional users, including other admins, or remove users as needed.

Set Up Microsoft Teams

To set up Microsoft Teams, you must access the Admin Portal and Call2Teams Portal. 

  • Within Admin Portal, manage SIP devices/settings.
  • Within Call2Teams, set up the PBX/Domain and add users.

NOTE: Remember, your designated Account Owner (Call2Teams Admin) must also have global admin access to Microsoft Office 365.

Add SIP Devices to Vonage Account
  1. Sign in to the Admin Portal.

    To prepare for the setup of your PBX/Domain and Users, open a spreadsheet to capture the following information for each user you set up in the next steps.
     
    • First Name / Last Name of the user assigned
    • Phone Number Assigned
    • SIP / Authorization ID
    • SIP Password
    • Registrar / Proxy
  2. Add a device (phone) for each licensed Microsoft Teams user.
     
    1. Click Phone System, then click Extensions.
    2. Hover over the extension you want to manage and click the Pencil icon.
    3. Click Devices and then click Add Device.
    4. Complete the following fields.
       
      ActiveMark to indicate the device is ready for use.
      Device NameEnter Microsoft Teams.
      Provisioning Model

      Select Other.

      MAC Address

      Leave blank.

      E911 LocationSelect the E911 location for the device
      SIP/Authorization IDPopulated automatically
      SIP PasswordEnter a standard password.
    5. Click Save.
Configure PBX/Domain in Call2Teams Portal

Your Account Owner (Call2Teams Admin) receives an invitation email. The Account Owner must have global admin access to the Microsoft Office 365 tenant to configure the PBX and Domain in the Call2Teams portal.

With two Microsoft Office 365 licenses, your domain setup is easier. These licenses are required for a few hours and can be removed or re-assigned afterward. If you only have one license, the setup process takes longer.

  1. Receive Your Call2Teams Account email invite and click Accept Invitation 
  2. Sign in to Call2Teams Portal with your global admin credentials for Microsoft Office 365. 
  3. Click the Services tab, and then click the PBX tab. 
  4. Choose Vonage Business Communications from the menu and complete the following:
     
    ServiceNameDefaults to Vonage Business Communications PBX. 

    If you have more than one Registrar/Proxy, you can update this name to include the location as a unique identifier. 
    CountryChoose Australia.
    Registrar/ProxyEnter the Registrar/Proxy for your users. 

    If you have more than one Registrar/Proxy because your users are on different Vonage accounts, create a separate PBX in the Call2Teams Portal for each location/account. The Service Name can be updated to include the location.
    SIP Proxy

    Copy the Registrar/Proxy. 

    Expiry (seconds)Leave blank.
    ProtocolDefaults to UDP
    Encrypt MediaDefaults to No.

  5. Click the Teams tab, make certain Enable Sync is marked, then click Enable Service.

  6. Sign in to Microsoft Office 365 when prompted. Once signed in, you will receive two or three pop-ups requesting that you allow permission to sync to the Microsoft Office 365 account. 

    IMPORTANT: If you do not sign in with the correct credentials, you can inadvertently authorize changes to the incorrect Microsoft Office 365 tenant.
  7. Click Accept when prompted for permissions as explained in the previous step. 

    The sync adds special domains to the Microsoft Office 365 account and activates them for voice. To complete this automatically, you must have at least one spare license. If a spare license is not available, you will be prompted to complete the activation of the domains manually. 

    While services are applied, the Sync Now button occasionally turns blue. Once complete, the Sync button shows a green checkmark. You can now add your users
Add Your Users
  1. Click the Users tab in the Call2Teams Portal and then click Sync Now.

    Once complete, your Microsoft Office 365 users are imported into Microsoft Teams.
  2. Click Select a User and the added user, update with the SIP details you captured, then click Add. Repeat this step for each additional user you want to add.

    If your user is not found, confirm they have the Microsoft Phone System license add-on enabled or an E5 license.
     
    Phone NumberEnter the phone number in international format (for example +17325551212).
    SIP User NameEnter SIP / Authorization ID
    Auth UsernameCopy SIP Username.
    PasswordEnter SIP Password.
Set Up Additional Admins, Users, or Remove Users

In the Call2Teams Admin Panel, click on the Users tab, and click Sync Now.   When the sync is complete, your licensed Microsoft Teams users in the Select a User dropdown.

Add Additional Admins

When an account is activated, an Account Owner (Call2Teams Admin) is created. This Account Owner can change permissions and add additional admins. If the targeted admin does not exist on the account, you must add as an additional user (license) beforehand. 

  1. Sign in to the Call2Teams Portal
  2. Click the Account tab (top) and then click +Invite Administrative User.
  3. Enter the Email, First Name, and Last Name of user, then go to Roles section and select the applicable access:
     
    Account Owner
    • View and update account and user settings.
    • Send admin invitations.
    Service ContributorAct as Account Owner on client accounts.
    Service ViewerView services and users.
  4. Click Invite. An automated invite is sent. The user must click Accept Invitation and then follow instructions to access and use the Call2Teams Admin portal. 
Add Additional Users

Contact Us to add additional users to your Vonage account and Call2Teams Portal. Once added, an Account Owner (Call2Teams Admin) can set up the user as follows:

  1. Add SIP Device to Admin Portal Vonage account for user
  2. Sign in to Call2Teams Portal.
  3. Click the Users tab in the Call2Teams Portal and then click Sync Now.

    Once complete, your new users are imported into Microsoft Teams.
  4. Click Select a User and the added user, update with the SIP details you captured, then click Add. Repeat this step for each additional user you want to add.

    If your user is not found, confirm they have the Microsoft Phone System license add-on enabled or an E5 license.
     
    Phone NumberEnter the phone number in international format (for example +17325551212).
    SIP User NameEnter SIP / Authorization ID
    Auth UsernameCopy SIP Username.
    PasswordEnter SIP Password.
Remove Users

While you can remove users in the Call2Teams Portal this does remove the user license from the Microsoft Teams service. Instead, you must Contact Us to avoid further charges for this user. 

  1. Sign in to the Call2Teams Portal.
  2. Navigate to the Users tab and locate the user to remove.
  3. Click the arrow next to the user name to expand details, then click the Trash icon (bottom left) to remove. 
Troubleshoot Issues
If the issue is...Then check...

Cannot Sync Users /
User Not Found

  • Confirm they have a Microsoft Phone System license add-on enabled or an E5 license.
  • If you received Error in Call2Teams Admin:: None of your users have phone numbers assigned, make certain phone numbers are enabled. To verify:
     
    1. Sign in to Call2Teams Portal.
    2. Click the Services tab, and then click the Teams tab. 
    3. Go to Sync Enabled and click Show Advanced Options.
    4. Ensure Manage Office 365 phone in is set to This portal
Cannot Receive Calls
  • Confirm Vonage PBX settings are not set to DND or calls to All Devices are turned off.
  • Check Vonage user-level routing options that transfer to the Microsoft Teams SIP device.
Cannot Place/Receive Calls
  • If calls never worked, check SIP settings.
  • If calls previously worked, determine whether the SIP password changed. 
Dialpad Missing
  • Dialpad may not appear for up to 24 hours.
  • If more than 24 hours elapsed, click Sync Now to retry and wait at least 3 hours. 
No MS Teams VoicemailMicrosoft Teams has its own Voicemail system that includes transcription. To use, disable Vonage Voicemail on the extensions of your users.

NOTE: Voicemail counts towards Microsoft Office 365 storage. 
Use of Presence FeatureBoth Vonage and Microsoft Teams have a Presence feature. Choose the option you want as other issues may occur if both are enabled.
