On-Demand Call Recordings

On-Demand Call Recording (ODCR) is an add-on feature that records calls for extensions. Each extension has 15 hours of recording time, where you can delete recordings to free up time. 

Permissions to manage On-Demand Recordings are handled as follows:

  • All user types can view, delete, and download their own recordings.
  • Administrators can add, assign (or reassign), and view recordings for all user types; however, they cannot listen, download, or delete the recordings of others.
  • Super Users can add, assign (or reassign), and manage recordings for any user type. 

You can transcribe these on-demand recordings using the add-on AI Transcriptions for On-Demand Call Recordings.


Cost (for ODCR):  $5.00* per month for the Vonage Smart and Lite calling plans. 
*The cost is included in the Vonage Best calling plan.


Add, Assign, Reassign On-Demand Call Recordings

Assign or Reassign
  1. Sign in to the Admin Portal.
  2. Click Billing, then click Manage Services.
  3. Hover over On-Demand Call Recording and click the Magnifying Glass.
  4. Assign or reassign On-Demand Call Recording:
     
    AssignGo to the Select from Available Extensions drop-down and select an extension.
    ReassignClick the X icon next to the current extension, select a new extension from the drop-down, and click Add Selected Extension(s).
  5. Click Add Selected Extension(s).
  6. Click Save.
Use On-Demand Call Recording

Once added and assigned to your extension, start and stop recording as follows:

Phone Keypad
  • Start / Resume recording: press *7 on your phone.
  • Stop / Pause recording: press *8 on your phone.
NOTE: When you use these options, the other party hears the key press (a short beep to confirm each selection). To avoid this, ask your Super User to update the Record All Calls setting.
Desktop App /
Mobile App
Click or tap Record (bottom of screen) to toggle between start/resume and stop/pause recording.

Access Recordings
  1. Sign in to the Admin Portal.
  2. Click Phone System, then click On-Demand Recordings.
     
    ExtensionFilters recordings by a specific extension.
    Filter ByFilters by time frame:
     
    • Last 24 Hours
    • Last 7 Days
    • Last 30 Days
    SearchFilters recordings by search criteria.
     
    • Calling Name
    • Call Direction
    • Start/End Date
    • Duration
    • User Notes
    RefreshUpdates the current list of calls.
    Add NewDirects you to the store to purchase additional On-Demand Call Recordings.
Manage Recordings

The Super User can manage recordings for any user type. Administrators can view details for any user, but they cannot play, delete, or download the recordings of others. 

  1. Sign in to the Admin Portal.
  2. Click Phone System, then click On-Demand Recordings.
  3. Hover over the recording and select options:
     
    DetailsClick the Magnifying Glass to view recording details.
    PlayClick the blue Play button to listen to the recording.
    DownloadClick the Down Arrow icon to download the recording. If you want to download more than one recording:
     
    Download MultipleClick the Bulk Edit button, then mark the box next to each recording, and then click the Down Arrow icon.
    Download AllClick the Bulk Edit button, then mark the box to select all recordings, and then click the Down Arrow icon.

    NOTE: Set your web browser to allow pop-ups from app.vonage.com.Details
    DeleteClick the Trash icon to delete the recording.

    NOTES:

    • Deleted recordings are placed in the Recycle Bin for seven days and can be recovered by a Super User during this time; they are permanently deleted after seven days.
    • All recordings are deleted permanently if you remove this feature or cancel your services. 
Manage Settings

The Super User can modify settings for all user types; an Administrator can manage settings for their own recording if granted permission by the Super User only. 

  1. Sign in to the Admin Portal.
  2. Click Phone System, then click On-Demand Recordings.
  3. Select options:
     
    Edit Recording Settings
    1. Mark the option Record All Calls if you do not want to manually record calls.
    2. Select a Legal Disclaimer option:

      -- No Disclaimer
      -- Audible Beep Every 15 Seconds
    3. Click Save
    Bulk EditSelect multiple calls for options to delete or download simultaneously.
End User (All User Types)
View Recordings

You can view up to 120 days of call recordings up to a maximum of 400 recordings in the Desktop App. The system deletes the oldest recordings if you have more than 400.

  1. Sign in to the Desktop App.
  2. Click Calls, then click the Recordings tab.

  1. Sign in to the Desktop App.
  2. Click Calls, then click the Recordings tab.
  3. Click a recording and select options:
     
    PlayClick the blue Play button to listen to the recording.
    DownloadClick the Down Arrow icon to download the recording.
    DeleteClick the Trash icon to delete the recording.

    NOTE: When recordings are deleted, they are placed in the Recycle Bin for seven days and can be recovered during this time. After seven days, recordings are permanently deleted and cannot be recovered. Removing the On-Demand Call Recording feature or canceling your account permanently deletes all recordings.
Troubleshoot On-Demand Call Recording

If you experience issues accessing call recordings, try the following steps:

  1. Use a supported browser; Google Chrome or Mozilla Firefox are recommended.
  2. Clear your browser cache and cookies to remove any outdated data; restart your browser after making any changes. 
  3. Disable pop-up blockers that may prevent the player from playing the recording. 

If you are unable to hear both sides of a call, verify that your listening device supports stereo recordings.  Recordings are produced in two separate channels and require a stereo headset and playback device.
