Hoteling for VBC

Hoteling, also known as Hot Desking or Shared Device, temporarily switches the profile on one phone so another person can use their extension on it. This helps companies reduce the number of physical phones needed. The functionality described here is being rolled out to accounts gradually over time. It is expected to be available to all customers by early April 2025.

  • Free for Vonage Business Communications customers.
  • User extensions and features are available on the shared device after the user signs in.
  • Bring your own device or purchase one from Vonage.
  • No limit to the number of devices used per account.
  • Users are automatically signed out after a set time frame which can be adjusted in the Admin Portal.
  • Does not work with Shared Line Appearance (SLA) / multiline configurations set up on the phones, but will work with Busy Lamp Field (BLF) enabled.

  • Polycom VVX, CCX, and Edge E Series
  • Yealink T3x, T4x P/G/S/U, and SIP-T5xW
  • Grandstream GXP21xx
Sign In/Out of Shared Device by User

Your extension number and associated voicemail PIN are needed to sign in.

  1. Dial *40#.
  2. Enter the Extension number when prompted.
  3. Enter the Voicemail PIN when prompted.

Once signed in, the phone downloads the profile and re-registers within 20 seconds. Certain models may reboot.

NOTE: Custom line display configuration (labels) may prevent the hotel extension from displaying on the device after signing in.

Sign Out Dial *41 to sign out.
Adjust Hoteling Timeout
  1. Sign in to the Admin Portal.
  2. Click Phone System, then click Devices.
  3. Click the Settings button (top right).
  4. Set the number of hours that a device is automatically signed out.
  5. Click Save.
